Reports To: Office Manager/Administrative Supervisor

Job Summary: The Receptionist will be the first point of contact for our company. Duties include offering administrative support across the organization. The receptionist will welcome guests and greet people who visit the business. They will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Key Responsibilities:

  1. Reception Duties:
    • Greet and welcome guests as soon as they arrive at the office.
    • Direct visitors to the appropriate person and office.
    • Answer, screen, and forward incoming phone calls.
    • Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, and brochures).
  2. Administrative Support:
    • Receive, sort, and distribute daily mail and deliveries.
    • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
    • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  3. Customer Service:
    • Provide basic and accurate information in person and via phone/email.
    • Handle customer inquiries and complaints promptly and professionally.
  4. Office Coordination:
    • Assist colleagues with administrative tasks.
    • Schedule and confirm appointments.
    • Arrange travel and accommodations when required.
  5. Crisis Management:
    • Handle unexpected situations and bad conditions calmly and efficiently, ensuring minimal disruption to office operations.


Qualifications:

  • High school diploma or equivalent; additional certification in Office Management is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite.
  • Hands-on experience with office equipment (e.g., fax machines and printers).
  • Professional attitude and appearance.
  • Good looking and smart female candidate preferred.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.
  • Fluent in Nepali, English, and Hindi.


Working Conditions:

  • Standard office environment.
  • Office hours: 10 AM to 6 PM, six days a week.
  • May require some lifting of office supplies and equipment.
